Executive Officer (holding the functional title of Assistant Manager) in the Critical Care Medicine Unit, School of Clinical Medicine (Ref.: 533048) (to commence as soon as possible, on a two-year fixed-term contract with contract-end gratuity and University contribution to a retirement benefits scheme, totaling up to 10% of basic salary, with the possibility of renewal subject to funding availability and satisfactory performance)We are seeking a dedicated and detail-oriented Executive Officer to support the Critical Care Medicine Unit (CCMU). The successful candidate will play a vital role in managing research project, financial, human resources, and administrative tasks to ensure smooth operations of the unit.Main Responsibilities:
  • Providing support for research administration activities, such as grant management, tracking research progress, and coordinating research-related documentation;
  • Assisting with departmental Human Resources functions, including staff recruitment, onboarding, and personnel administration;
  • Financial management including financial reporting, budget monitoring, procurement, and claims processing;
  • Planning, coordination, and execution of projects, events, and initiatives, including budgeting, marketing, logistics, and reporting;
  • Maintaining effective relationships with internal and external stakeholders;
  • Administrative duties such as office space planning, office administration, and support for daily operations.
Requirements:
  • Bachelor's degree with at least 8 years of full-time relevant experience, preferably in tertiary institutions;
  • Excellent command of written and spoken English and Chinese;
  • Proficiency in essential productivity and design tools, including Microsoft Office Suite (Word, Excel, PowerPoint), Adobe Creative Cloud (Photoshop, Illustrator), and other relevant software;
  • Strong organizational, interpersonal, and communication skills. Self-motivated, a team player with keen attention to detail;
  • Ability to work independently, manage multiple priorities, and perform under pressure to meet deadlines.
